RFQ Data Use and Privacy Notice

PetroVanex uses buyer inquiry details to prepare petroleum-equipment quotes, coordinate technical follow-up, and protect the sourcing workflow. This page explains the public-facing data practices for RFQ forms, email, and WhatsApp conversations.

RFQ intake

Information buyers may send us

RFQ details are used to understand the equipment request and prepare a quote-ready technical file.

Inquiry fields

Product family, public configuration code, destination market, destination country, quantity, and project size
Technical requirements such as fuel media, voltage, flow rate, tank capacity, packing expectations, certificates, and timeline
Contact details supplied by the buyer, including email address, company contact, or WhatsApp number

Follow-up material

Photos, nameplates, drawings, labels, destination rules, or documents the buyer chooses to send
Email and WhatsApp conversation context needed to clarify the quote
Public page context such as selected SKU, application page, country playbook, or RFQ template

Use of information

How PetroVanex uses RFQ data

Quote preparation

Check whether the inquiry has enough product, destination, voltage, media, quantity, and document detail
Prepare buyer clarification questions when required fields are missing
Route the request through private sourcing operations without publishing buyer details

Communication

Reply by email, WhatsApp, or another channel the buyer provides
Send technical questions, quote status, product options, packing notes, and document requests
Keep repeat-order context so future inquiries do not restart from zero

Protection and quality control

Filter spam and incomplete form activity
Maintain private RFQ records for follow-up, service continuity, and quote traceability
Review product photos, documents, and packing evidence before shipment release when applicable

Boundaries

What we do not publish or sell

PetroVanex does not turn RFQ submissions into public pages, directories, or buyer lists.

Buyer privacy

We do not sell buyer contact details.
We do not publish buyer emails, WhatsApp numbers, RFQ messages, drawings, or quote documents.
We do not add buyer technical files to public website content.

Sourcing privacy

Factory identity, channel history, cost work, negotiation notes, and private evaluation records stay outside public pages.
Public product pages use PetroVanex product codes and anonymous sourcing language.
Supplier matching decisions are handled privately after buyer-facing requirements are complete.
